How do I get service on my scanner?
Call 800.827.9219 and give us details of the problem you are experiencing. If we cannot resolve your problem over the phone we will help arrange for your scanner to be returned for repair. You can also email us at tsmsvc@appersonprint.com giving us details of the problem, including how and when we can contact you to determine if the scanner needs to be returned for service.
How long do repairs usually take?
We will repair your machine and ship it back to you within 5 working days from the time that we receive it.
How do I obtain a copy of my user's manual?
Each model comes with a manual, but if you need additional copies you can download the PDF from this website. Just select your machine model and click on the link to the printer-friendly PDF download.
How do I get a replacement power supply for my scanner?
Simply call Customer Service at 800.827.9219. Any of our customer service representatives will be able to help you. A replacement power supply is $12, plus the cost of shipping. Please be prepared to provide the scanner's serial number when calling.
What does "recommend calibration soon" mean and what do I do?
Your test scoring machine is asking to have its sensors recalibrated. This is a simple process, just press and hold the "Next Display" button until the LED says "Ready to Calibrate". Then take the calibration form that came with your scanner and run it through. The machine will then say "Calibrated". Just push the reset button and you are finished.
How can I tell how long it has been since I last recalibrated?
Press the "Summary Display" button until the LCD show how many forms have been scanned since last calibration.
How long do the ink cartridges last?
The cartridges should last 6 to 12 months or about 10,000 to 15,000 answer sheets. We recommend that you replace the cartridge(s) at the beginning of the school year (or at least once a year).
How do I replace the ink cartridge?
Squeeze the side of the ink cartridge cover on the face of the scanner. Remove the ink cartridge and insert the new one after you remove the blue tape that covers the jets on the cartridge. Replace the ink cover and you should be ready to go.
Why isn't my scanner printing?
Please make sure that the ink cartridges have been placed in the scanner and that the protective tape that covers the cartridge nozzles has been removed. If the scanner still isn't printing, priming the cartridge will usually solve the problem. Take a paper towel (not a tissue) and touch the ink jet holes. If it doesn't draw ink into the paper towel, cover the jet holes with the paper towel and gently oscillate the cartridge. Don't shake it as the ink can shoot out. It is permanent ink and will stain anything or anyone it touches. Last, if older than 6 months or heavily used, your ink cartridge may need to be replaced. Where do I locate the serial number on my scanner?
The serial number is located on the back of your scanner.
How do I know what version firmware I am using?
Press the "Summary Display" button until the LCD shows the Firmware version.
I have run the calibration sheet through but my scanner is still not working. What should I do?
Paper dust can build up in the scanner. Use canned air and blow paper dust off the sensors. To access the sensors, remove the thumbscrew from the back of the scanner to separate the read head from the plates. After cleaning, scan the calibration sheet again. If the problem persists, contact Customer Service at 800.827.9219 and ask for Technical Support.

Why will my scanner not accept my forms?
It could be one of many things: First, make certain that you have scanned a key prior to scanning your answer sheets if you are using the scanner in test scoring mode. Next, check the form and make sure you are using the correct form for the machine (i.e., that you are using a GradeMaster™ form for a GradeMaster™ scanner and an Advantage™ form for an Advantage™ scanner). Last, check the area where the timing marks are located (the small black boxes along the left side of the form) and make sure there is no fading of the timing marks and no stray pencil marks. If forms continue to be rejected, call Technical Support at 800.827.9219.
My scanner is displaying faint black boxes in the display screen. What is going on?
Updating your firmware may correct this problem. From this website, select which scanner you are using. Once selected, click on the Downloads tab and then chose Firmware Updater. Closely follow the download instructions. If you are networked, this will have to be done by a system administrator. If problems persist, contact Technical Support at 800.827.9219.
Why is my scanner disconnected in DataLink™?
From DataLink's™ menu, click on Scanner and then Find Scanner. If DataLink™ still does not show the scanner is connected, check to make sure that the scanner is plugged into the computer. Make sure that the scanner is not plugged in the USB cable. If the scanner still cannot be found your scanner driver(s) may have been improperly installed. Contact Technical Support at 800.827.9219.
Why are Questions 1 and 2 only showing in the Scanner Results window after I run my key?
Your scanner's firmware is below Version 4.0 and needs to be updated.
Why is the scanner rejecting my test forms and ‘Paper Skew’ appears in the display?
Please make sure the test forms are flush down against the scanner and are not lifting when being sent through the scanner. Try calibrating the scanner if it continues to happen. If the scanner continues to reject your test forms and ‘Paper Skew’ is still appearing in the display, contact Technical Support at 800.827.9219.
How well does the scanner distinguish between erasures and marks?
The scanner has excellent mark discrimination which is based on Apperson’s proven OMR technology. Through DataLink™ you can configure the scanner to select the darkest mark, or set a discrimination level that will allow multiple marks that fall within a certain darkness range of the darkest mark. The scanner discriminates very well between poor erasures and intended marks.
Does the scanner read two-sided forms?
Yes, but the scanner has a simplex read head and can only read one side of a sheet at a time.
Can the Advantage™ 1200 scanner print on answer sheets?
Yes, there are two fixed position ink-jet cartridges in the scanner. They are used for answer verification, printing scores, batch/sequence numbers and error codes.
Does the scanner have to be hooked up to a computer?
No, all Apperson scanners can operate in stand-alone test scoring mode without connection to a computer. In stand-alone mode you first enter an answer key followed by the student sheets to be scored. Scores will be printed on the sheets and displayed on the scanner LCD.
What are the software/hardware requirements for the scanner?
The scanner can be used without any software/hardware requirements in stand-alone mode. If you want to use the scanner with your PC, you will need to install our DataLink™ software. DataLink™ can be installed on computers with Windows 2000 or higher operating systems that have a minimum Pentium 3 processor operating at 500 MHZ with 128M of RAM.
Does the scanner provide any analysis of the tests scored?
Yes. We have an Item Analysis form that includes a score frequency distribution report and a tally of the number of incorrect responses for exams with up to 200 questions. We also offer a Tally Report form which will provide a tally of markings for each specific response bubble on the scan sheet. In addition to providing valuable exam analysis, these reports are also used to provide results for ballots and surveys. Using our DataLink™ software you can generate additional analysis reports on your PC.
What kind of general maintenance does the scanner need?
Other than keeping the scanner clean and occasionally blowing out any paper dust residue, our scanners are maintenance free. The one recommendation we make is to leave your scanner connected to a power source (plugged in) during long periods of inactivity such as summer break. The scanner should also be calibrated from time-time and this is accomplished by pressing the next display button down until "ready to calibrate" shows on the LCD. Then simply scan the calibration sheet through the scanner.
What are the differences between the GradeMaster™ 600 and Advantage™ 1200 scanners?
The primary differences are: The Advantage™ scans up to 100 questions per pass; the GradeMaster™ scores 50. The Advantage™ accommodates ID field capture more efficiently, without multiple bubbling. Do your scanners require a software or a computer to work?
No, they are stand-alone units and do not require a computer. However, they do have a serial and USB port that allows connection to a PC with our included DataLink™ software.
How many forms can your scanners handle in memory?
The scanner will store results for up to 10,000 documents in a single batch run. Batches would include scoring an exam, processing ballots and surveys.
Do your scanners come with an automatic feeder?
Yes, our BenchMark™ 3000 scanner is auto fed and rated at over 3,000 forms per hour. Our Advantage ™ 1200 and GradeMaster™ 600 scanners, however, are hand fed and rated at 1,800+ forms per hour.
How many forms can your scanners handle?
Apperson scanners are very durable and can last for hundreds of thousands of scans with little maintenance if properly cared for. Their simplicity and durability make Apperson scanners perfect for everyday classroom use and for use on large scale assessments.
How many questions can your Advantage™ 1200 handle?
The Advantage™ can scan up to 100 questions in one pass and up to 200 questions per test.
Is reporting software included with the scanners?
Most Apperson scanners come with DataLink™ software. You can easily convert the students' responses into informative and accurate reports, like item analysis, class rosters and proficiency reports. How do I create a key?
Using the answer sheet, you simply fill out the correct answers on the form and bubble in the -K- on the top of the form located in the "keyline." Scan the key prior to scanning your answer sheets. The scanner will tell you how many questions are keyed. You can also create a key without a form by using DataLink's™ key editor feature.
What reports are available from DataLink™?
The following reports are available in DataLink™: Class Roster, Student Test Results (Excel), Item Analysis, Advanced Item Analysis (Excel), Student Proficiency, Class Proficiency, Student Test Report (Excel) and Scanner Results.
Can I try a scanner before I agree to purchase?
Absolutely! You can request a no obligation 30-Day Trial on any of our test scoring machines. We will send you a new machine, a copy of DataLink™, 500 answer sheets, and everything else you will need. Then for 30 days you can evaluate our scanner. If you love the machine, and we know you will, just send us a purchase order. Can we expedite my shipment?
Ground shipping is included for the purchase and trial of most scanners. We can, however ship via other FedEx shipping options, including overnight for AM delivery. Costs for non-standard delivery will be added to your invoice.
What about sales tax?
Normally, schools and school districts are exempt from taxes; however, we do occasionally require a copy of your tax exempt certificate. We will request it if we need it.
Will someone come out to set up my scanner?
No. You will find that it is not necessary. The Quick Start Guide that accompanies your scanner will make a simple process of your scanner set up. However, if you run into any questions, we are just a phone call away. If you find that you need help, please call Technical Support at 800.827.9219.
What's the normal shipping time for forms or scanners?
We can usually have both items delivered anywhere from 3-7 working days depending on your location. We ship all scanners from Seattle, WA. Forms ship from either Los Angeles, CA or Charlotte, NC.

Once we receive them, we will send you an equal number of packages of answer sheets that will work with your new Apperson scanner, so you don't waste any of those precious budget dollars. Can you pre-populate, or pre-slug my forms?
Yes, we specialize in pre-slugging answer sheets and surveys. From the data file you would send us we can print as much or as little information right on each answer sheet as you would like. We can pre-print important information (like student ID and test ID) that your scanner can read, increasing the accuracy of your data and decreasing time spent fixing problems caused by incorrect bubbling. We can also sort your answer sheets and ship them in class packs to each school or your district, based upon your needs.
Do your scanners come with a warranty?
Yes, all our test scoring machines come with a one year warranty that covers all parts and labor. Affordable extended maintenance contracts are available after your warranty expires.
Do you offer a trade-in program for users of older model Apperson scanners?
Yes. On our GradeMaster 100 we offer $100 trade in per unit and on the Advantage Mark Read we offer $150 per unit.

Why should I purchase forms with student ID grids?

Additionally, the student ID is needed if you are going to export your data to a 3rd party application like an electronic gradebook.
